and why do we need a wedding planner?

We specialize in weddings, engagements and proposal ceremonies – some of life’s most important moments. As event planners we offer an intangible, yet priceless service. We are always in the background and forever running two steps ahead of the event, anticipating and setting the stage. We are masters of relationships and seek out trustworthy and high-value vendors in our communities who offer a variety of goods and services at varying price points. Successful events are carried out by trusted planners who can think on their feet and have a sense of what the client would want – at Beyond the Proposal we are confident that you will find we possess these skills and so much more.

We always start with getting to know you and your vision for the event. We want an intimate sense of who you are, so on your special day we have intuitively know how you like things done to complement our plans and timelines. Next, we determine budget – this sets the tone and helps guide decision making. Then we figure out what you want to manage and what areas you feel you need direction and support with. We offer five packages with varying degrees of support and services – we want you to feel comfortable with the services you are paying for and never to pay for something you don’t need. From there, you can add selections from our A la Carte menu so your package is uniquely yours.

You want to be the one to plan your wedding day, but with minimal research time and all the fun – we get it! Swept Away is an extensive package for the couple who prefers to be guided through the wedding planning process, or just doesn’t have enough time to do it all themselves. You will still be involved in planning, and your ideas will drive the process. We will help you with some of the big choices and smaller details. Using our hands-on approach, we will take you from start to finish, ensuring that you are swept away on your wedding day.

Your Perfect Day

You know your priorities and spending hundreds of hours planning and researching your wedding is not one of them. Let’s get the wedding budget and timeline out of the way first, then you can relax knowing realistically what we have to work with. With that in mind, we’ll narrow down your choices and direct you to incredible wedding venues, wedding photographers, caterers & florists. You won’t have to worry about coordinating all of the vendors, the wedding timeline, or making sure things are running smoothly. We’ve got it covered for you! We will take care of the time-consuming details, and narrow down all of your possible selections. Together, we will create your perfect day.

This service is a full wedding planning service, where we take care of everything related to planning – you just have to say “yes” or “no”!

  • Creation of to-do list (based on how much time you have left in your planning process)
  • Pick-up personal flowers the morning of the wedding
  • Sourcing of 1 vendor that best reflect you style and budget (We will send you a list of potential vendors to choose from and then complete the booking process, all confirmations, and scheduling directly with the vendor)
  • 1 additional in-person planning meeting, to be used at your discretion (up to 1.5 hours)
  • Contract review: eliminate redundancies, review allocated hours, and advise on costs
  • Creation of basic budget
  • Manage hotel accommodations/room block arrangements – negotiate group rates

  • Transportation of items from the ceremony location to the reception venue
  • Assistance with seating chart management (Room layout, number of guests per table, etc)
  • Assist photographer in gathering family and wedding party for photos and calling out photography groups. (Photography list included)
  • Placement of ceremony personal décor items (choose 3: signage, arch, draping, aisle decor, signing table decor, welcome table decor, if other please inquire)
  • Placement of reception personal décor items (choose 3: signage, stationary, basic centerpieces, favours, cards and gifts table decor, charger plates, napkins, table runners, if other please inquire)
  • Candy bar/sweet table set up and maintenance
  • 2 additional in-person planning meetings (up to 1.5 hours each)
  • Detailed budget, with maintenance & cost-saving tips
  • Sourcing of up to 3 vendor recommendations that best reflect your style and budget (We will send you a list of potential vendors to choose from and then complete the booking process, all confirmations, and scheduling directly with the vendor)
  • Supervision of ceremony and/or reception set up (Up to 3 hours)
  • Rehearsal dinner coordination: provide recommendations for venues, help with menu & service details, and décor assistance as necessary
  • Coordination services on your wedding day for a maximum of 10 consecutive hours

  • Up to 3 additional in-person planning meetings (up to 1.5 hours each)
  • Sourcing of up to 5 vendor recommendations that best reflect your style and budget (We will send you a list of potential vendors to choose from and then complete the booking process, all confirmations, and scheduling directly with the vendor)
  • Detailed working document to keep track of the wedding budget and planning progress (updates as changes occur; includes all planning documents)
  • Ceremony set up (may include aisle runner, simple back drop, aisle decor, etc)
  • Movement of chairs from ceremony to reception when room flip is required
  • Reception set up/room change-over requirements (this does not included tables or chairs)
  • Coordination services on your wedding day for a maximum of 12 consecutive hours

At Beyond the Proposal, we want to ensure that we are able to meet all of your needs on your wedding day. We want to be able to give you, and your families and friends, the best experience possible. To achieve this, we offer additional a la carte services. These services may be added on to any package, or purchased individually without a package. If you think of anything else please let us know!

  • Full theme/decor design: We help you develop your style, colors, theme, and incorporate your unique signature into your day
  • Planning of other wedding events: We can help you plan your bridal showers, gift opening, etc
  • Travel fees outside of the radius of Calgary will apply at a rate of $0.50/km
